Your meetings are stored in the region you choose

Troopa stores everything it keeps for an organisation in one region, chosen when the account is created: the United Kingdom (London), the European Union (Frankfurt) or the United States (Northern Virginia). Troopa keeps no copy of it in another region. Some processing happens elsewhere, and this page says exactly what, where and why.

What stays in the region

Everything Troopa stores for your organisation: the transcripts, the notes and minutes, the decisions and actions found in them, the boards and canvases, the notes of what was shared on screen, the search index built from them, the documents you give Troopa and their files, the Obsidian notes your people sync, the answers Troopa keeps for them, your people’s accounts, your settings and your audit log. They are kept in the region’s database and file storage, and Troopa copies none of them to another region. How they are protected is on the security page.

The region is chosen once, when the account is created, and Troopa does not move an organisation from one region to another.

What is processed outside it

Four things, each while a meeting or a question is being dealt with. Troopa stores nothing in these places.

  • The audio, for transcription. Troopa streams it to Soniox or AssemblyAI as it is spoken. From the UK and EU regions it goes to their European endpoints, which means a UK organisation’s audio is transcribed outside the United Kingdom. From the US region it goes to their endpoints in the United States.
  • The words and the screen, for the AI. To answer a question, write the notes and find the decisions, Troopa sends the transcript, or the parts of it a request needs, to AI models from Anthropic and OpenAI. To note what is shared on screen, it sends a picture of the meeting window when what it shows changes. A question asked during the call can go with a picture of the meeting window or, when there is none, of the whole screen the pointer is on. Both providers are reached at their own endpoints in the United States, and today that is so for every region, the UK and EU included. While Troopa is listening, TypeSafe’s model, also in the United States, reads the meeting’s newest lines to tell when somebody asks Troopa something. The pictures are not kept: only the short note written from what was shared is, in your region.
  • A question for a web lookup. Unless your organisation turns web lookups off, and only for a question your meetings cannot answer or one you ask Troopa to look up on the web: the question alone goes to Anthropic’s or OpenAI’s web search in the United States. Nothing else from the meeting goes with it.
  • A question for the apps a person connects. Unless your organisation turns Connectors off: the question alone goes to the apps the person connected, such as Notion or Google Drive, wherever your organisation’s account with each app keeps its data. Nothing else from the meeting goes with it.

The companies involved, and what each one sees, are on the sub-processors page, and the privacy policy sets out our terms for international transfers.

Billing, this website, email and usage

Billing is one Stripe account for every region, and Stripe never sees meeting content. This website, at troopa.ai and related domains, is the same for everybody and holds nobody’s meetings. And the emails Troopa sends, such as the minutes, arrive in each recipient’s own mailbox, wherever that is. A meeting somebody adds from Troopa to their own Google or Microsoft calendar is kept in that calendar, wherever its provider keeps it.

Where we switch it on for a region, how the desktop app is used, never what is said in meetings, goes to PostHog: its EU cloud in Frankfurt for the UK and EU regions, and its US cloud for the US region.

Questions

Does Troopa keep UK meeting data in the UK?

Troopa stores a UK organisation’s meetings, transcripts, notes and account in London, on Amazon Web Services and a MongoDB Atlas database there, and nowhere else. Some processing happens outside the UK: the audio is transcribed at the transcription service’s European endpoint, and the AI models that write the notes, answer questions, read what is on screen and tell when Troopa is asked something, from Anthropic, OpenAI and TypeSafe, are reached in the United States. A web lookup, or a search of an app somebody connected, sends only the question.

Is the UK region the same as the EU region?

No. The UK region is London and the EU region is Frankfurt. London is not in the European Union, so an organisation that needs its data stored in the EU should choose the EU region.

Which parts of a meeting leave the region?

Troopa keeps no copy of what it stores in another region. While a meeting is processed, the audio goes to the transcription service (at its European endpoint for the UK and EU regions, in the United States for the US region), and the transcript, or the parts of it a request needs, and pictures of the screen go to the AI models of Anthropic and OpenAI in the United States, for every region, and the newest lines to TypeSafe’s there. The pictures are not kept. A web lookup, unless the organisation has turned them off, sends only the question, to Anthropic’s or OpenAI’s web search in the United States. So does a search of an app somebody connected, to wherever that app keeps its data.

Can an organisation move to another region later?

No. The region is chosen once, when the account is created, and Troopa does not move an organisation’s data from one region to another.

Where is billing handled?

By Stripe, through one account for every region. Stripe sees billing contacts and payment details, never meeting content.
